What we do for congresses and corporate events
Antalya deliberately spreads most of its congress and trade-fair calendar outside the main holiday season, into autumn and spring. That is when we take on the full transport layer of an event: airport meet & greet, daily shuttles between hotel and congress centre, gala-dinner returns and exhibition-ground transfers.
A congress actually contains two different transport jobs, and they do not run off the same plan. We do both — planned separately.
1. Protocol and VIP transfers
Speakers, session chairs, board members, sponsor executives, invited academics. What matters here is not scale but punctuality and courtesy: individual meet & greet with a name sign, luggage assistance, a quiet cabin, escort to the vehicle, a time set per guest. This runs in the minivan and minibus classes.
2. Delegate and group transport
Moving attendees as a body: airport arrival windows, repeated shuttles between hotel and congress centre, returns from gala and social programmes. Here the decisive factor is capacity planning — how many people move within which time window. Minibus, midibus and coach capacity is planned against the programme and the group size.

Capacity planning — this is where the work is
In congress transport, cost and delay are driven not by total headcount but by how arrivals spread across the clock. A group landing inside one window and the same-sized group spread over a full day are two completely different plans: the first needs simultaneous vehicles, the second needs repeated runs.
That is why we ask for the flight list and the programme flow before quoting. How many vehicles, at what hour, at which gate and in what order — it all follows from that. Once the plan is set the price is fixed, and in-programme changes do not produce surprises.
How it works
- Request — you send the event name, date range, hotel and venue, attendee count and flight profile.
- Capacity plan and quote — we build the vehicle plan around your programme and send a fixed-price quote by WhatsApp or e-mail.
- Programme — once approved, the transfer list is broken down by day and time; each vehicle gets a driver and a meeting point.
- Event days — journeys are tracked in our central dispatch system and changes are handled through a single contact.
Flight tracking and meet & greet
Delegates arrive from different cities at different hours. For airport pickups we use flight tracking: the driver is positioned against the actual landing time, not the schedule. Meet & greet, name sign and escort to the vehicle are included. For group arrivals the meeting point and boarding order are shared in writing beforehand.
Congress areas we serve in Antalya
We operate across the whole region, with congress and fair programmes concentrated in Lara, Kundu, Belek, Side, Kemer and central Antalya. Transfers between Antalya Airport (AYT) and these areas are a standard part of our daily operation.
